Managing an NDIS plan involves balancing daily supports, therapies, and community activities to ensure your funding lasts the full duration of your plan. With automated plan extensions and direct updates becoming more common, keeping track of your own funding pace ensures you avoid running out of essential supports early or leaving flexible funds unused.

Understanding the Flexibility Rule: Core vs Capacity Building
Before calculating your monthly pace, it helps to understand how different budgets behave within your NDIS plan:
- Core Supports (High Flexibility): Categories such as Assistance with Daily Life and Assistance with Social, Economic and Community Participation generally share a single flexible funding pool. If your spending is lower in one area, you can redirect those funds to other activities, such as social groups or weekend community outings.
- Capacity Building Supports (Stated and Specific): Funding for therapies, employment support, or support coordination is linked to specific goals and providers. These funds cannot be moved into your Core budget or across different Capacity Building categories.
3 Steps to Check Your Plan Pace
Checking your funding progress every few months helps you spot spending trends early and make proactive adjustments.
Step 1: Calculate Your Target Monthly Pace
Divide your total approved budget for a specific category by the total number of months in your plan cycle. While many plans cover 12 months, some funding is allocated in 1-month or 3-month intervals. Dividing the budget by the relevant timeframe gives you a consistent monthly baseline.
Total Approved Category Budget ÷ Plan Duration in Months = Target Monthly Spend
Step 2: Review Your Actual Spending
Multiply your Target Monthly Spend by the number of months that have passed to see where your balance should be. How you check your actual spend depends on how your plan is managed:
- Self-Managed or NDIA-Managed: Log in to PRODA (Provider Digital Access) to check your current claims and remaining balances via the online portal.
- Plan-Managed: Request a spending summary or monthly statement directly from your Plan Manager.
Step 3: Adjust Based on Your Pace
- If You Are Spending Ahead of Pace (Overpacing): Review your weekly support worker hours or group schedule to ensure essential services remain funded through to your plan end date.
- If You Have Surplus Funds (Underpacing): Identify unused Core funding and explore engaging daytime, evening, or weekend social activities before your plan cycle ends.
Keeping Track Across Multiple Providers
Individual service providers only have visibility over the specific supports they deliver, rather than your total NDIS budget. When calculating your remaining funds, remember to account for all active supports, including consumables, assistive technology, transport, and independent therapists. Factoring in all regular expenses ensures you always have a clear view of your available social and community participation funding.
